Use appropriate drivers for a given operating system

3.7 Given a scenario, deploy and configure multifunction devices/printers and settings.

📘CompTIA A+ Core 1 (220-1201)

When you install a printer on a computer, the operating system (Windows, macOS, Linux, etc.) doesn’t automatically know how to communicate with every printer. That’s where printer drivers come in.

Printer drivers are software that translates the instructions from your computer into a language that the printer can understand. Different printers use different languages, so using the correct driver ensures your print jobs come out correctly.

There are two main printer languages you need to know for the CompTIA exam:

  1. Printer Control Language (PCL)
  2. PostScript (PS)

1. Printer Control Language (PCL)

  • What it is:
PCL is a page description language created by HP. It tells the printer how to print text, fonts, and simple graphics.
  • How it works:
PCL is fast and designed for general office printing like documents with text, tables, and simple images. It converts your computer data into a form the printer can print quickly.
  • Key points for the exam:
    • Faster than PostScript for simple documents.
    • Works well for everyday office printing.
    • Usually built into laser and inkjet printers.
    • Common in Windows environments.
  • Use case in IT:
If you have a network printer in an office and users mostly print Word documents, spreadsheets, or simple PDFs, PCL is usually the preferred driver.

2. PostScript (PS)

  • What it is:
PostScript is another page description language, created by Adobe. It’s more complex and precise than PCL.
  • How it works:
PostScript describes each page in detail, including text, images, and graphics. The printer interprets this information to produce high-quality output.
  • Key points for the exam:
    • Best for graphics-heavy printing like brochures, CAD designs, and high-resolution images.
    • Slower than PCL for simple documents because it processes more detail.
    • Often used in Mac and Linux environments, and in professional printing.
    • Produces consistent output across different printers.
  • Use case in IT:
For a design studio or a company printing marketing materials, PostScript drivers are preferred because the images and fonts need to look exactly the same on all printers.

Exam Tip: The CompTIA exam may ask:

  • Which driver is better for office documents? → PCL
  • Which driver is better for graphics-heavy printing? → PostScript

Other Important Points for the Exam

  1. Always choose the correct driver for the OS.
    • Windows drivers are different from macOS drivers.
    • Using the wrong driver may cause the printer to print incorrectly or not at all.
  2. Drivers can be installed from:
    • Manufacturer’s website
    • OS built-in drivers
    • Installation CD (less common now)
  3. Multifunction printers (print, scan, fax) may require separate drivers for each function. PCL or PostScript mainly affects the printing function.

Summary for Easy Remembering:

  • PCL = fast, office documents, Windows, HP.
  • PostScript = high-quality graphics, consistent output, Mac/Linux, Adobe.
  • Always match the driver to the printer type, function, and operating system.
